This role is a specialized position within the IT Finance and User Services (ITFS) division. The Associate IT Analyst will act as the process owner for IT Asset Management (ITAM), with a dual focus on software license compliance and end-user hardware lifecycle management. You will be responsible for ensuring the optimization of IT assets, minimizing compliance risks, achieving cost savings, and implementing continuous improvements to people, processes, and tools. This position requires a meticulous, analytical, and proactive professional who can effectively collaborate with various IT stakeholders and external vendors. Summarily, your key responsibilities are:

Software Asset Management:

• Maintain and update the software license tracker and register, ensuring all data on owners, agreements, costs, and types is complete.
• Perform periodic reconciliation of software license entitlements versus actual utilization to ensure compliance.
• Facilitate software contract administration, renewals, acquisitions, and lifecycle planning, notifying owners 90 days before expiration.
• Collaborate on RFPs and quotations, manage vendor relationships, and clarify licensing terms.
• Produce regular reports and dashboards on license status and utilization trends.
• Identify and execute cost-saving opportunities for software renewals and services.

Hardware Asset Management:

• Facilitate end-user IT asset inventory tracking, reconciliation, and cleanup using the ServiceNow ITAM database.
• Conduct physical asset inventory counts, audits, and reconciliations.
• Prepare and present asset inventory status reports to the ADB Asset Tribe.
• Review and update processes for the entire IT asset lifecycle (planning, procurement, deployment, maintenance, inventory, disposal).
• Support operational tasks like monitoring shipments to field offices.
• Process & Compliance:
• Serve as the custodian of ITAM processes and documentation.
• Support internal and external audit requests with accurate and timely information.
• Identify and lead continuous improvement initiatives for the ITAM framework.

• Educational Qualifications: Bachelor’s degree in Information Technology, Computer Science, or a related field.
• Experience Level: 5-10 years in IT Asset Management or related roles.
• Skills and Competencies: Proficient in IT Asset Management, Technical Documentation, Licensing Interpretation, and Software Management.
