About the job:
Join our incredibly supportive team, where you’ll receive coaching and comprehensive training to excel in your role! Although we offer structured, self-paced training with a detailed plan and tracker, we're looking for candidates who bring relevant experience to the table.
The primary tasks for this job position will be:
- Admin Tasks:
- Maintain and update Excel tracker for book mailing (goal: send to 500 people)
- Monitor podcast outreach status and follow-up
- Transition podcast branding from “Trust Builder” to “Trust Leader” across platforms
- Build a consistent client note system using Fathom or similar tools
- Track client commitments and to-dos from coaching sessions
- Assist with small research or setup tasks (e.g., finding event info, contact details)
- Operations Tasks:
- Develop SOPs and documentation for coaching workflows
- Support in structuring her coaching framework and digital asset library
- Build and refine project management systems (likely in Notion or Basecamp)
- Turn coaching call recordings into reusable summaries and templates
- Help build and manage a video library for future iterations of her coaching program
- Content and Marketing Tasks:
- Manage content repurposing workflow:
- Take 20–30 min videos and extract 12–15 assets (podcast, blog post, social clips, carousels)
- Light video editing (veed.io)
- Use AI tools (ChatGPT, Opus Clip, Canva, etc.) to draft first versions of content
- Draft and post on social media platforms based on her content system
- Create systems that support Hannah in showing up for 25+ podcast guest spots this year
- Collaborate on growing her visibility through content, books, and interviews
- Community & Client Experience Tasks
- Support with the Clarityflow platform (single and group threads, client engagement)
- Create engagement posts and summaries in client communities
- Prepare templates for recurring community interactions or check-ins
- Build accountability mechanisms between sessions for coaching clients
- Reach out to Book clubs
- Tech Tasks
- Use of Notion (primary “second brain” and knowledge base)
- Basecamp (existing PM setup)
- Clarityflow (community/coaching delivery)
- Fathom (call recordings)
- ChatGPT, Canva, Opus Clip for AI-powered content support
- Google Workspace, likely for file/email/calendar (limited delegation initially)
Salary Range is: [Php30,000-33,000] per month (depending on experience)

Technical Requirements:
- College Level or Higher
- At least 18 months of experience as an Executive Assistant, Project Coordinator, or Content/Operations support role.
- Experience in managing and repurposing content (e.g., transforming long-form video/audio into multiple content formats such as social media clips, blog posts, carousels, etc.).
- Experience in light video editing.
- Social media management (Drafting, scheduling, and posting content across platforms).
- Experience with project management tools (e.g., Notion, Basecamp)
- Knowledge in podcast outreach and coordination (e.g., booking guest appearances, managing episode logistics, handling rebranding across platforms).
- Experience in working or supporting community-based/coaching environments is a strong plus.
- Willingness and availability to work mid-shift hours to align with the client’s schedule.
