The HR Assistant is responsible for assisting the HR Campus Lead in providing a wide range of both human resources and administrative support services to the Records Management, including HR transactional work across the employee lifecycle, HR system administration, managing queries from internal and external clients, information management, supporting Senior Executive recruitment and appointment processes and other administrative tasks as required.


Responsibilities

The HR Records Associate will provide assistance to the HR Campus Lead in the following major areas:

  • Manages queries from both internal and external clients on a daily basis, using initiative to find answers to more complex queries and redirecting to the appropriate team as required.
  • Provides timely and accurate advice on diverse operational HR activities, processes, and procedures across the employee lifecycle, including recruitment, appointment, conditions of employment, separation and related issues to individual staff and local HR teams.
  • Contributes to a high performing services team, supporting and sharing knowledge with other team members.
  • Demonstrates and encourages commitment to quality customer service and actively pursue and implement ways to improve client satisfaction.
  • Maintain and update employee 201 files, ensuring accuracy and confidentiality.
  • Prepare and conduct regular internal audits of employee records and necessary documentation for external audits.
  • Ensure compliance with legal requirements.
  • Prepare and organize documents required for RQAT and PACUCOA.
  • Stay updated on labor laws and maintain efficient record-keeping systems.
  • Maintain and reconcile the masterlist of employees, generating reports as needed.
  • Serves as the liaison of the HR Office.
  • Contributes to the development and review of HR Policies and Procedures.
  • Ensures the quality and compliance of HR documentation with appropriate storage.
  • Performs other related duties as assigned.


Qualifications

  • Bachelor's Degree in Psychology, Human Resources Management, or any relevant degree.
  • Preferably with one to three years of work experience in Human Resources.
  • Experience in HR Records Management is an advantage.
  • Strong organization skills and attention to detail.
  • Evidence of the practice of a high level of confidentiality.
  • Familiarity with current employment rules and regulations.
  • Willing to start ASAP.
  • Willing to report onsite within Clark, Pampanga.
