Description

We are seeking a proactive and detail-oriented Operations / Administrative Associate to join our Tranfers team remotely. This role is integral to our daily operations, ensuring the seamless coordination between our in-house teams, third-party vendors, and customers.


The ideal candidate will assist in various operational and administrative tasks, including creating and updating business development proposals, managing the violation removal process, ensuring proactive compliance and documentation, handling the alteration application review process, and facilitating communication between stakeholders. Training and regular guidance / collaboration will be provided by the Product Ops/Transfers team.


Key Responsibilities:

  • Create and update business development proposals and pricing schedules as directed by the team leader.
  • Coordinate with in-house building operations, account management teams, and third- party vendors/customers to resolve violations or arrange attendance at OATH hearings.
  • Draft and post daily dashboard updates and ad hoc/weekly reports for our customers. Respond promptly to customer messages and questions.
  • Ensure all documentation is correctly uploaded to municipal city websites for violation clearing. Experience with NYC Department of Buildings, NYC HPD (Housing Preservation & Development), FDNY (Fire Department New York) or similar agencies is a bonus.
  • Maintain and update the task management tool, ensuring all internal stakeholders are updated and collaborate effectively with an aim of closing tickets in the fastest possible manner.
  • Source proposals from vendors and level bids and pricing.
  • Manage annual proactive compliance items on a building-by-building basis based on our calendar and ensure items are approved and completed within the designated time frames.
  • Oversee the alteration application review process, ensuring compliance with community rules and governance procedures.
  • Escalate issues to the appropriate team members as needed.
  • Draft comprehensive reports as required.
  • Call, email, and text vendors in New York City to schedule work, discuss further details and coordinate access.

Requirements

  • Excellent grasp of English, both written and verbal.
  • Comfortable making calls to vendors in New York City.
  • Attention to detail and high level of accuracy.
  • Ability to work independently and as part of a team.
  • Highly organized with the ability to multitask and prioritize effectively.
  • Fast learner with a proactive approach to problem-solving.
  • Experience with New York City Building Compliance or Violation Removal is a bonus.
  • Experience using Google Suite, particularly Google Docs and Sheets, and familiarity with task management tools such as ClickUp is a plus.
  • Experience working with or in a United States based Property Management company is a bonus.
